Description

Agency employees are great at being creative, but often terrible at doing their time sheets. Ours were no different. In fact, things were getting worse. With a staff doing more projects with less people, recording their time every week was a low priority and becoming an issue. We tried several things to change the behavior within our organization, but nothing had worked. We needed to figure out a way to get our employees to complete their time sheets on time and we needed an answer fast.

Execution

Introducing the TapServer. The TapServer is a multi-keg beer deployment system that rewards agency employees with free beer for completing their time sheets on time. The TapServer is connected to the agency’s time sheet software, and with a simple scan of an employee’s ID card, it knows instantly if their time sheet is up to date. If it is, free beer! Technology includes two iPad interfaces, custom-written software, several Arduinos, a Raspberry Pi, solenoids and flow sensors all making the experience simple, delicious and fun.

Outcome

Employees love it, which is the best result of all. Since the launch of the TapServer, weekly time sheet completion has improved significantly to 95% and employee sentiment has increased 90%. In addition, the TapServer has received countless press in several publications including USA Today, National Public Radio, CNN, Food & Wine, Adweek, PSFK and many more. In addition, the TapServer was one of only 39 entries out of nearly 1,500 to be selected for this year’s Communication Arts Interactive Annual.
